5+ Tools to Compress PowerPoint Files
Microsoft PowerPoint does not include great compression algorithms to compress embedded images and videos. Any multimedia heavy presentation, will easily bloat in size. You can then just forget about emailing such presentations and most corporates define a maximum file attachment size that can be emailed.
Do not worry. There are freeware and commercial tools available that can compress these presentations to a manageable size without really impact the quality of the multimedia content.
Compressing from within PowerPoint
Let us first employ simple tricks from within PowerPoint to shrink file sizes.
Compress PowerPoint In Versions Before 2007:
- Open your presentation
- Click File Menu and then Save as
- In the save dialog box, click the Tools drop down menu
- Select Compress Pictures
- Select All Pictures in document
- Select Web/Screen unless you need to be able to print the presentation in high quality.
- Select Compress pictures and Delete cropped areas of pictures
- Click OK
- Confirm that you want to Compress Pictures
- Save your presentation to a new file
Compress PowerPoint In Office 2007:
- Open your presentation
- Click the Save floppy icon in the upper left hand corner
- Click the Tools drop down menu besides the save button
- Select Compress Pictures
- Click Options
- Check Automatically perform basic compression on save
- Check Delete cropped areas of pictures
- Check the appropriate target output
- Click OK
- Save to different file name
Commercial Tools
NXPowerLite can be downloaded as a free trial for 10 uses. It does a very good job of compressing PowerPoint files.
Powershrink is another graphical program for compressing Powerpoint presentations. It also mainly compresses the pictures. It can be downloaded and tried 20 times before a license must be purchased.
CZ-Ppt2Jpg For MS Powerpoint V2.0 is a batch ppt converter that converts powerpoint files to jpg/jpeg. They also sell many other convertors.
